TERMS & CONDITIONS 

 

Portsmouth Open Studios Event branded POSE or P.O.S.E. is organised by City Arts Portsmouth CIC

Venues must be within the PO1- PO6 postcodes - A venue can be a studio, home, business or community centre.

By registering as an artist in the POSE with City Arts Portsmouth, you are expected to contribute in some way, however small, and are required to agree to the following terms:

  • Participating artists must be aged 18 or over.

  • Follow the guidance for completing the application form. Once submitted, the application is final, and no further changes can be made without an additional admin fee.

  • All artists must fully complete Phase One and Phase Two of the Applicant Process, following all instruction and adhere to all criteria as requested.

  • Ensure that you have adequate Public Liability Insurance and include a copy of the certificate with your application.

  • Pay all entry fees by the specified cut-off date as published on the entry form.

  • Ensure that you have secured a venue for POSE with City Arts Porstmouth, BEFORE submitting your application. Each artist may use only one venue for the event.

  • Read and, where required, act on the email communications from the POSE Committee.

  • Attend the Pack Night meeting and collect your POSE Participant Pack or send a representative.

  • Present work which is your own, which should be original work not a copy, and a reasonable proportion of which should be new work i.e. made in the last 12 months.

  • Focus on showing your working/making methods and techniques (exhibiting and selling your work must be in this context) and be prepared to discuss these.

  • Use your own mailing lists and social media to promote yourself and the event Advertise the event locally through displaying posters provided by City Arts Portsmouth and by distributing the brochures provided to you.

  • Participating artists are allowed to share studio space with others. In this instance each artist will be required to apply separately to City Arts Portsmouth and, as each artist will be individually represented on the advertising material, there will be no discount for shared studios unless previously agreed.

  • Ensure that the disclaimer provided is prominently displayed.

  • Ensure that directions to your venue are prominently displayed.

  • Ensure that all signage is removed from public highways immediately after the last day of the event.

  • Complete the evaluation form and provide feedback on visitor numbers to enable the organisers to monitor statistics and aid future POSE improvements.​​​

 

Digital Arts

Whilst City Arts Portsmouth welcomes new and digital arts and ways of working, a solely virtual studio will only be acceptable where it can be demonstrated that the artists can easily engage with the visiting public to enable compliance with other terms and conditions set out here.

 

When opening your studio to visitors:

 

  • You should be open on the days agreed and advertised in the brochure and from 11am to 5pm on each of those days.

  • You are responsible for ensuring that you and your visitors are safe including observing any Government guidelines for COVID should they be in operation.

  • You are responsible for booking any appointments with visitors, should they be requested.

  • All participating artists should be present in your venue for the entire time it is open (you may find it beneficial to have someone with you to help, but that person should not replace you)

  • You should present your studio in a way that is welcoming, accessible and safe for visitors

  • Please consider and facilitate access for visitors with limited mobility as far as is possible Inform us immediately of any change in circumstances (or inform us as soon as possible of any emergencies) which may affect your ability to participate

  • You must provide your own Public Liability Insurance (Please note that City Arts Portsmouth does NOT provide insurance to cover your studio)

  • By participating in Portsmouth Open Studios Event , you give permission for the images and information you supply to be used on the website, in print and for promotional purposes.

  • Carry out a written risk assessment before opening to the public, and update this as required throughout the event. 

 

Photo / video permission

 

You are required to inform visitors that photography & video may be taking place during their visit to studios. Please download and display the permissions notice from this link while open to the public

Representatives of City Arts Portsmouth may attend your studio and take photographs and video of your studio, visitors and your work in order to promote the event. Whilst we will endeavour to inform you of the taking and use of images and to credit you on the image, City Arts Portsmouth reserves the right to use the images without doing so. If you do not wish City Arts Portsmouth to take and use images, please contact us by email.

 

Contact Details

As part of the application process, participating artists are required to provide City Arts Portsmouth with their contact details. These will be on public display throughout the year on the website and through the digital and printed versions of the brochure.

 

By participating in City Arts Portsmouth, you consent to City Arts Portsmouth using your contact details to develop and deliver the event and on-going programme.

 

If you do not wish City Arts Portsmouth to use your contact details to develop and deliver the event and on-going programme, or you wish to have your artist’s profile taken off the web site after the event, please contact us by email.

 

Our provision to Participating Artists

Applications to participate are accepted at the discretion of the City Arts Portsmouth committee. City Arts Portsmouth reserve the right to decline any application and to cancel the City Arts Portsmouth event if inadequate numbers of applications have been received.

 

Initial applications will be hosted on the web site after at least 10 applications have been received.

 

  • Update our website in a timely manner to promote the event as a whole, including providing details of participating artists and makers

  • Promote the event through social media

  • Promote the event through the local press

  • NOT take any commission on sales of your work

  • NOT be liable for any accidents, loss or damage to your work or property

 

We reserve the right to decline any application and to cancel the City Arts Portsmouth event if inadequate numbers of applications have been received. Initial applications will be hosted on the web site after at least 10 applications have been received.

 

If your application is accepted, City Arts Portsmouth will make its best endeavours to:

 

  • Update our website in a timely manner to promote the event as a whole, including providing details of participating artists and makers

  • Promote the event through social media

  • Promote the event through the local press

At its discretion, City Arts Portsmouth will maintain the artist’s profile on the web site for a period of time after the event.

 

City Arts Portsmouth will NOT:

  • take any commission on sales of your work

  • be liable for any accidents, loss or damage to your work or property

Refunds

 

Should an artist subsequently decide not to take part in the event, fees will not be refunded after the closing date for applications. Cancellations prior to this date may be refunded at the discretion of City Arts Portsmouth and subject to a £25 cancellation fee.

 

The artist acknowledges and agrees that City Arts Portsmouth will incur costs in the organising, marketing and advertising of the event, often in advance of the event itself. As such, any refund that may be due to an artist as a result of City Arts Portsmouth’s cancellation of the event will exclude amounts required to cover costs already incurred.

 

Where City Arts Portsmouth is unable to proceed with the event for any reason, including but not limited to circumstances outside of its control, the artist may be entitled to a refund as follows:

 

  • Prior to the closing date for applications refund 90% of the fee

  • Prior to the printing of the brochure refund 75% of the fee,

  • After the printing of the brochure refund 5% of the fee

  • Should the cancellation occur prior to the printing of the brochure, the artist will also be offered the alternative of rolling 100% of the fee paid forwards to contribute towards the artists fee for the next available Portsmouth Open Studios Event.

Disclaimer

City Arts Portsmouth are not responsible for booking individual studio visits or safety arrangements for studio visits.

 

City Arts Portsmouth cannot accept liability for any loss, damage or injury sustained by any member of the public visiting any site, exhibition, or event. It is the responsibility of exhibiting artists to ensure that their studio is a safe place for members of the public to visit.

City Arts Portsmouth are not responsible for any arrangements or  issues involved in artists hiring a venue to exhibit from during the event. 

 

Artists must ensure they have Public Liability Insurance.

 

City Arts Portsmouth cannot accept liability for any injury, loss or damage to participating artists, their property or works of art. Artists are encouraged to put in place their own insurance cover for such eventualities.
